Millfield Fitness Studio’s LTD Terms and Conditions
Acceptance as a member
(a) The proprietor shall mean Millfield Fitness and shall include the manager and any employee or Agent of the studio. The proprietor shall have an absolute discretion upon whether to accept the application for membership of an applicant as a Member of the Studio.
(b) ACCEPTANCE BY THE PROPRIETOR OF AN APPLICATION FOR MEMBERSHIP OF THE STUDIO SHALL CONSTITUTE A BINDING CONTRACT BETWEEN THE PROPRIETOR AND THE MEMBER UPON THE TERMS AND CONDITIONS OF THE MEMBERSHIP AND THE RULES OF THE STUDIO.
(c) A Millfield Fitness Studio Monthly Membership entitles you to unlimited access to all classes within your membership package for the period of 1 calendar month commencing on the first of the month, expiring on the last day of the month.
(d) Memberships taken out in the middle of the month will be charged pro-rata to the end of that month. A full month’s subscription will then be deducted from your credit/debit card or via standing order on 1st of each month.
(e) Upon booking a pay as you go session, the consumer is entitled to attend their chosen session, having pre-booked with the option to pre pay before the class or pay at the studio.
(f) Block payment of classes must be used within their specified expiry date. All block payments are non-refundable.
Assignment / Extensions / Breaks
Membership of the studio is unique to the individual who took out the membership and cannot be assigned, transferred or put on hold under any circumstance except with the presentation of a Letter from a Doctor / GP or at management discretion.
Joining fee and Membership Subscriptions.
(a)There is no joining fee to become a member of Millfield Fitness Studio
(b) If payment is not received by the 3rd of each month a £10 admin fee will be charged.
TERMINATION OF MEMBERSHIP
(a) The manager may terminate the membership of any member (i) without notice and with immediate effect in the event that a member either (a) commits a serious breach of the rules as to Members Conduct set out in paragraph 6 below (which may include, by way of example, violence, excessive use of bad language, threatening behaviour or inappropriate sexual activities, in a way which disturbs the enjoyment of the studio by other members) or (b) repeatedly breaches the Members Conduct Rules or (c) in the event of a breach, capable of remedy, does not remedy the same within seven days of receipt a written default notice from the proprietor. (ii) If any part of the subscription remains unpaid 30 days after the date due for payment, following written demand by the proprietor addressed to the member at the most recent address notified by that member to the Studio, giving no less than seven days’ notice to rectify such non payment.
(b) In the event of termination of the membership of any member in accordance with paragraph 4(a) above the member will be liable to pay reasonable compensation to the studio in respect of any monies which at the time of such termination are owing to the studio in accordance with the contractual agreement, alternatively, if money has been paid in advance under this agreement, to retain the money so paid, to cover any reasonable costs or losses incurred.
5. Cancellation of Membership
Group Fitness and Platinum Studio Membership –
(a) From the date of becoming a member, membership continues for a minimum period of 2 months, after which a 30 days’ notice on 1st of the month to terminate your contract. Unless terminated in accordance with the agreement (or otherwise by operation of law) your membership will be automatically renewed on a rolling monthly contract. If payment is not received by the 3rd of each month a £10 admin fee will be charged.
(b) The member may cancel the membership by giving 30 days written notice on the 1st of the month or before via email (firstname.lastname@example.org) or by letter to terminate the membership. No other forms of communication to cancel membership other than those described above will be accepted.
(c) The member may terminate this agreement on 30 days’ on the 1st of the month or before in writing or via email to email@example.com, if he/she is unable to use the studio through serious illness or injury likely to preclude him/her from using the studio for a period of at least one calendar month. We will require reasonable evidence of the illness or injury-e.g. A doctor’s certificate.
Boot Camp Memberships –
(a) Boot Camp Memberships are available for a period of 3 & 12 months. Each 4 weekly block runs over 12 consecutive sessions and missed sessions can be caught up by attending alternative timeslots but cannot be carried over to the next month.
(b) The Boot Camp Membership shall run for the term but will automatically continue after expiry of the term until cancelled as described in the Cancellation policy below.
(c) In order to cancel Boot Camp Membership, written notice must be given by letter or email to firstname.lastname@example.org at least 30 days prior to the end of their membership term.
(d) Early cancellation can be done by making a one off payment of the remainder of their boot camp membership fee’s.
(e) All monthly and paid in full memberships fees are non refundable.
Pay as You Go Classes & Introductory Offers
(a) Pay as you go classes must be pre booked at 1 hour prior to start of the class.
(b) Payment is required by the start time of the class.
(c) All classes operate a 24 hour cancellation policy, non attendance & class cancellation with less than 24 hours notice will still be charged at the full class rate.
(d) Our 5 for £25.00 class pass is available to new customers only & expires 2 months after date of purchase. Once purchased your 5 class pass is non refundable.
6. Members Conduct
A Member and where appropriate his/her guests must:
(a) Comply with any applicable dress code for the studio.
(b) Show consideration for other members and their guests and staff in and around Millfield Fitness Studio premises.
(c) Not use abusive or bad language.
(d) Not bring, use or be under the influence of illegal drugs in any part of Millfield Fitness’ premises.
(e) Not behave in an anti-social or disruptive manner, including sexual activities.
- Rules pertaining to young persons (under 16)
(a) Young persons under the age of 16 cannot enter or be left at the studio unattended unless attending an organized activity. Young persons under the age of 16 must be supervised be an adult at all times.
(b) Parents are totally responsible for their children’s behaviour at all times during a visit to the studio. A member’s child should also be expected to adhere to the Members Conduct Rules.
7. Alterations or Variations
This membership agreement may be revoked, supplemented or altered by the Proprietor at its discretion and the proprietor shall give the Members reasonable notice in advance of such changes by posting a written notice on the Millfield Fitness website/Facebook page /notice board. If the changes affect any fee or charges which a member is liable to pay, the proprietor will also send written notice at least 14 days in advance of the changes being made to the last address the member has provided. Where the change to terms and conditions is otherwise such as alterations in class times or classes offered, no refund will be given to the member by the proprietor.
For any query that cannot be satisfactorily dealt with by the department staff, please ask for a manager.
9. Millfield Fitness Studio Refund Guarantee
At Millfield Fitness we want you to be delighted every time you shop with us.
If for any reason you are unhappy with your purchase you can return it to us in its original condition within 15 days and we will issue a full refund for the price you paid. You can always return items if they are defective within 30 days.
Please note that this guarantee does NOT apply to classes, memberships, workshops and teacher training.

All information collected from our website is used solely for our internal marketing and not sold or exchanged with outside parties.
Will you share my electronic or normal mailing address with anyone?
Your email address is safe with us. We absolutely do not support “spam” marketers. Our mailing list is private and we will never share your address with any other organizations.

Millfield Fitness Studio’s LTD is a Private Limited Company. This a summary of what we as a company, do with your data in order to run our business and provide our customers with our services and products.
We aim to be clear when we collect your data and not do anything with it that you wouldn’t reasonably expect. Developing a better understanding of our customers and those that support us allows us to use the data that we gather to make better decisions about how we do things.
What information do we collect?
We collect and process a variety of personal information such as name, contact information, date of birth, health & exercise readiness, lifestyle information, bank/financial information.
If we take payment from you via payment card we will maintain a transaction history but not your payment card number.
Most of the information we collect will have been provided by you or created through use of our services. We collect this information from you through our websites, MindBodyOnline our Payment & Booking system or when completing new client paperwork at the studio and from other services such as Children’s Parties or external Workshops & Events.
We keep a record of communications with you electronically or otherwise and may track whether emails are received or opened by you to ensure you receive the most up to date, relevant information.
How do we use your data?
Millfield Fitness Studio’s LTD use your information mainly to provide you with products and services, to understand our customer needs and improve the products and services we offer, and for the day to day running of the business. We also use it to comply with the laws and regulations that apply to us and to protect the business, our customers and employees.
We use profiling and segmentation to ensure communications are relevant and timely, and to provide an ever evolving experience to our customers and the community. When building a profile we may analyse geographic, demographic and other information relating to you in order to better understand your interest and preferences.
Unless you ask us not to, we will tell you about products and services we offer and about opportunities to support us. Occasionally, this may include information about partner organisations.
We keep your data for the minimum period required by law or our regulators. This is usually no longer than seven years. After this time, where appropriate, we will destroy/delete your data unless the relationship is still ongoing.

Your data will be held on our business systems. Where possible we do not keep more than one record for each customer. All of your data is held securely, with strict access controlled in the UK.
We may need to disclose your details if required to the police, regulatory bodies, specialist advisors or legal advisors.
Sensitive information is deleted when no longer needed and access is restricted to those who need to use it.
We will not share any of your information with any other third parties without your agreement unless required in order to fulfil our contract with you, required by our regulators or allowed by law.
